Filing Systems - Implementation Case Study An employment agency was having difficulty in creating and maintaining files on their clients. The 12 recruitment staff told us that they all spent at least 30 minutes each day looking for their client files. We assessed that conservatively, it was costing them $100,000 per annum in lost time. Often they could not find the file and so they created a new file. This lead to duplication and at times quadruplication. In addition, they were running out of space as the four drawer filing cabinets were filled to capacity. They designed their own system for their client files (12,500 of them). Dalton Files and Furniture provided the files, and labels. The Flying Filing Squad knew what had to be done to speedily convert the mess into an easy to find system. One weekend, 24 Squad members turned up to create the 12,500 files, locate the paper and match it with the new file. |
