Filing Systems -Maintenance Case Study

Once Client A (Alan) had invested in the Records Classification System (RCS) he realised that to keep the system working, it was necessary to have someone manage it. There was not enough work to employ a full time records manager.
 
Alan decided to take up the option of outsourcing the work to the Flying Filing Squad.

We assigned a Squad member to work in their office every morning so that all of their record keeping tasks were covered. This is a very cost effective way of ensuring that your information is always put away so that you can get it back.

Once a year we review the files (to ensure that they are being used properly) and to apply the retention and disposal schedule (to ensure that they are not paying off site storage costs for files that can be legally destroyed.

The benefit for the staff was that they knew that the documents were either in the file or they were in the file tray.
